Order Management Dashboard: Order Summary

The Order Summary provides a high-level view of all orders in the system, broken down by status. It shows order counts, values, and key indicators such as out-of-target work, subcontract orders, and unchecked visits. Use it to quickly identify where work is getting stuck and where action is needed.

Go to Dashboards > Order Management, or from the Order Management screen select the Order Summary button.

Summary modes

The Summary Mode controls how the data is presented:

  • Order Summary: the default view. Shows a count of orders at each status with breakdowns across the columns described below.

  • Open by Raised Date: shows work in progress in relation to the raised date. Orders further to the right have been open longer.

  • Open by Target Date: shows work in progress in relation to the target date. The left-hand side shows orders still in target; the right-hand side shows orders that are out of target or at risk.

Filters

The summary can be filtered by:

  • Contract

  • Work Stream

  • Team

Summary columns

The Order Summary grid shows the following columns for each status:

  • Order Value: total value of orders at this status.

  • Work Completed: total earned/invoice value.

  • No. Orders: total count of orders.

  • Green / Amber / Red: RAG status indicators for orders at this status.

  • Unreleased variation requests: count of orders with unreleased variations.

  • With subcontract work: count of orders involving subcontractors.

  • Out of target: count of orders that have exceeded their target date.

  • With unchecked visits: count of orders with visits awaiting checking.

  • No Access status: count of orders where access was not gained.

  • Follow On status: count of orders requiring follow-on work.

  • Awaiting Post Inspection: count of orders awaiting post-inspection.

  • Recall: count of recall orders.

Drilling into orders

Select any cell in the summary to drill through to the Order Management screen, filtered to show only the orders for that selection. Select a status heading to see all orders at that status.

How work flows through the summary

The Order Summary shows all orders at their current status at that exact moment in time, it is not a date-range view. Orders flow from the top of the screen (New, Planned) through Work in Progress and Work Completed, and down into invoicing statuses (Financially Completed, Awaiting Approval, Approved).

The goal is to keep work in progress as low as possible. Anything dwelling between raised and invoiced is stuck in some way. The summary gives visibility of where work is getting stuck so that action can be taken.

The Manually Allocate Posting Assignments field is a toggle found on the Details tab of a Sales Order in Order Management. When enabled, it allows users to manually edit the Cost Centre and Account Code fields on the order's Job Codes tab, overriding the default financial postings that would otherwise be automatically assigned.

This functionality has been extended to Subcontract Orders. When the toggle is switched on for a Sales Order, any related Subcontract Order also allows manual editing of its Cost Centre and Account Code fields on the Job Codes tab. The financial postings on the Sales Order line and the Subcontract Order line are independent of each other, so changing one does not affect the other. This field is only available on Sales Orders and will not appear on other order types such as Works Orders or Purchase Orders.
