Security Profiles

Security Profiles control what users can access and do in Job Management (Connect). A Security Profile contains a detailed set of permissions that define which areas of the system are available to the user, including menus, screens, tabs, buttons, actions, and features.

Enter user in Job Management (Connect) is assigned a Security Profile. The profile is applied when the user signs in and determines the functionality they can access across the system.

Structure

Security profiles use a hierarchical permission structure that mirrors the layout of the interface. Permissions are grouped by functional area, with top-level sections controlling access to related screens and options beneath them.

For example, a user might have access to Order Management but not have permission to use specific features such as:

  • Manual Allocation

  • Shelf

  • Quotes

  • Variation Requests

  • Video Calls

  • Export or download actions

Permissions can also control:

  • Which dashboards and modules are visible

  • Which tabs and actions are available on a screen

  • Whether user can add, edit, cancel, or delete records

  • Access to specialist functionality such as subcontractor features, alerts, or messaging

  • Whether a user is treated as an "Out of Hours" user for routing and operational purposes

Removing access to a parent area also removes access to related child options. Some child permissions are only available when the parent permission is selected.

Granular access control

Security Profiles provide very granular control over the user experience. You can configure different profiles for different roles across the organisation, for example:

  • Contact centre users

  • Planners

  • Supervisors

  • Subcontractors

  • Administrators

  • Mobile or field users

This allows each user group to see only the functionality relevant to their role.

Template profiles

Job Management (Connect) includes a number of standard Security Profiles that can be used as starting points. These profiles are designed around common user roles and can be copied and adapted to reduce configuration time.

Rather than creating a new profile from scratch, it's common practice to:

  1. Duplicate or export an existing profile

  2. Update the required permissions

  3. Assign the updated profile to users

This approach helps maintain consistency and reduces the risk of missing important permissions.

Approval Groups

Security Profiles control what users can see and do in Job Management (Connect).

Approval Groups control operational permissions and limit, such as:

  • Which issue or order statuses a user can apply

  • Financial approval limits

  • Purchasing permissions

Security Profiles and Approval Groups are configured separately and both can affect the user experience.

Administrative access

Users marked as admin users bypass normal Security Profile restrictions and have access to all areas of the system. Administrative access should normally be limited to system administrators and implementation or support users.
