Assign a User to the Supplier

Supplier users are external users who can access Job Management (Connect) through the Subcontractor Portal. The best practice is to use a restricted security profile for all external supplier users. Don't assign internal or admin profiles to supplier users.

To make sure they only see their own subcontracted work, you must:

  • Create a user account

  • Assign a restricted security profile

  • Link the user to a supplier

If you don't follow this setup, users might see no data or gain access to areas they should not use.

Before you begin

Make sure:

  • the supplier record already exists

  • the Subcontractor Portal is available in your environment

  • a restricted security profile, for example, "Subcontractor Users" is available

Create the user

  1. Navigate to Configuration > Manage Security > Users.

  2. Select Add User.

  3. Enter the user details, for example, username, email, and password.

  4. Set the Home page to "Subcontractor portal".

  5. Set the Security profile to "Subcontractors".

    • This profile should only include access to the Subcontractor Portal, Add Order Variation Request, and Grid Picker. This ensures the user can complete subcontractor tasks without accessing internal areas of Job Management (Connect).

  6. Select Save and Exit.

Assign the user to the supplier

  1. Navigate to Configuration > Materials Management > View Suppliers.

  2. Select the supplier and then the Supplier Users tab.

  3. From the Assign Supplier Users list, select the user and then Assign User.

The user now appears in the Supplier Users list and is linked to that supplier. When the user signs in they'll see the Subcontractor Portal. They only see orders for their supplier and can raise and manage variation requests, if configured.

Troubleshooting

User can't see any orders

  • Check the user is linked on the Supplier Users tab.

  • Check their security profile allows access to relevant order statuses.

User sees too much data

  • Check they are not assigned an internal or admin security profile.

User can't access the portal

  • Check the Home screen is set to Subcontractor Portal.
