Workforce Rostering - Release 4.05.00

We have been enhancing WORKSuite and MyTime since the last release, adding new features and addressing known bugs. This overview outlines the updates available from week commencing 24th June 2025.

Some features may require additional setup by Totalmobile. If needed, reach out to your Account Manager for access details.

New Functionality and Improvements

Description

WS-9685

A Bento box menu has been added, allowing consistent navigation and a seamless logon to all available Totalmobile products. This means you only need to login once via Totalmobile Home and won’t need to sign into each individual product accessed via the Bento box menu.

The Bento box menu is populated via the Unity API and displays the products as Capabilities, only the Capabilities you have access to are shown.

WS-10350 WS-10349 WS-10342

Introduced some styling changes to the header bar in WorkSuite to ensure visual consistency across different TotalMobile products. Changes include a double header bar with quick links on the header bar, client name will now be prominent on the header bar and for clients with multiple TotalMobile products, a Bento Box Menu as mentioned in release item WS-9685.

WS-10148

Updated the styling on all shift warnings as well as removed the timed aspect for all warnings. Previously, some warnings would briefly display and then disappear. To improve accessibility, warnings will now persist until the user dismisses the warning or closes the shift change dialog.

WS-10160

Updated the message on the PEOPLE page during first load to be less misleading. Previously this said “No employees found matching filter” and this has been updated to say “Loading employees”.

WS-10421

Fixed an issue preventing users from changing the requested date in MyTime when requesting changes and added some additional headings to provide clarity on the date selectors.

WS-10374

Fixed an issue preventing the saving of Open Shift configuration. Some users were getting an “Error 500” when attempting to save new configuration.

WS-10367

Fixed an issue with cancelling a single day request on the MyTime Calendar page that was resulting in an email stating the request was a multi day cancellation.

Fixed an issue with the GDPR Purge functionality that was preventing the purge button from being clicked.

WS-10347

Fixed an issue that resulted in some users seeing different results in the reports compared to the accounts total in the manage page. When clicking the eye icon in the manage page and then clicking on the green icon, this will navigate to a report that shows all the changes that contribute to the relevant account.

WTSSUP-143

Fixed an issue preventing managers from approving a Pending shift change request when there was already an approved holiday on the same day. This should be allowed when the relevant permission (Allow shift change on holidays) is enabled.

WTSSUP-140

Fixed an issue with additional shifts that resulted in the shift name not displaying when applied.

WS-10232

Fixed an issue with variance rules. When a restriction was set for notice period for shift swaps and user 1 sends the request within the acceptable notice period, but user 2 accepts the request after the notice period has past, this request was allowing the request to accepted when it should have restricted.

WS-10420

Fixed an issue affecting the Caching of account summaries. If a user in MyTime has triggered a recalculation and a manager in WorkSuite also triggers a calculation at the same time for the same user, then for that user, the figures shown were not correct.

WS-10375

Fixed an issue that affects saving account changes in WorkSuite. When changing the account frequency (from annual to none, for example) the frequency would not update after the save.

WS-10251

Fixed an issue with Pending shift swaps not displaying correctly in MyTime. Pending requests should show for full visibility.

WS-10240

Fixed an issue with the Payroll report that was including archived pay codes. Archived pay codes are no longer used and should not form part of the report.

WS-10298

Fixed an issue with the variance report timing out when this contained large sets of data. This will now continue to run in the background without timing out and the data will display when ready.

WS-10293

Fixed an issue with the variance report displaying the correct end date when an additional hours variance spans midnight on the same day a shift change was scheduled.

WS-10292

Fixed an issue in the variance report that affected clients that used a numbering system to name their locations and workgroups. These numbers were being converted into dates when exporting the report into Excel.

WS-9880

Improved the display of a save button. When a comment is required for a deleted variance (Permission is required to enable this), it wasn’t very obvious that the save button was required to be clicked.

WTSSUP-202

Fixed an issue with the Shift swap rule “Net zero hours only”, which was causing the MyTime requests screen to not load for some users.

Fixed an issue with account imports that were importing as American date format.

WS-10388

Fixed an issue with shift overlap validation that allowed a user to accept a shift bid (additional hours) and then accept a shift swap that overlapped the additional hours. System validations will now prevent this scenario.

WS-10390

Fixed an issue with the payroll report that wasn’t displaying all results when filtering the payroll report for a single person vs a whole location.

UAT Fixes

This section is used to capture any fixes that are fixed between deploying to customer UAT environments and Live deployments. The following tickets were created since the first UAT deployment and have been fixed before releasing into the next live release.

WS-10448

Fixed an issue in UAT with Shift swaps not validating rest rules.

WS-10445

Fixed an issue with publishing new shift patterns. When this results in variances being removed, the system should provide a download of removed variances. The download was previously not starting.

WS-10439

Fixed an issue with variances not appearing in the variance report. When running the schedule report, variances that were not in the variance report were visible.

WTSSUP-244

Fixed an issue with externally run API calls. Due to WS-10298 being a background task, when calling this API external to the system, the call would fail.

WS-10463

Fixed WS-10439 as it failed UAT for specific variances.

WTSSUP-213

Rolled back some previous changes that restricted a date change in myTIME when making a request. The change required the user to click on the day they wanted the change and restricted the ability to change the date once clicked.

WS-10457

Fixed an issue with Reciprocal Shift Swaps where date range validation was incorrectly restricting the shift swap when it should have been allowed, resulting in an RSS remaining as pending.
