Job Management (Connect) - Release 9.36

We have been enhancing Job Management (Connect) since the last release, adding new features and addressing known issues to improve quality.

What’s New

  • Sales Invoicing
    Enhancements have been made to:

    • Orders > Sales Invoices Dashboard > Sales Invoice > Audit. The Sales Invoicing module now includes an audit trail feature, allowing users to view a detailed history of changes made within the module, including which fields were modified, by whom, and at what date and time.

    • Dashboards > KPI's. The Sales Invoice Dashboard has been enhanced with new KPI types and filters, allowing users to filter KPIs by organisation, contract, invoice date, invoice due date, status, and batch status, providing more detailed insights into sales performance.

    • Orders > Order Management > Summary. Progressive Invoicing (Stage Payments) functionality has been implemented, allowing for more flexible billing options, supporting scenarios such as partial invoicing for job codes and time, and materials billing with multiple components.

    • Orders > Sales Invoices Dashboard > Sales Invoice. The Sales Invoices editing capability has been improved, allowing users to make necessary adjustments to sales invoices more efficiently, enhancing the overall invoicing process.

    • Improvements have been made to the UI and UX. These include:

      • Reworking the buttons to follow the Totalmobile design.

      • Display an ‘Other’ value in the Total Cost of an Invoice for lines which are not a Job Code, Material Code or Labour Code.

      • Display associated invoice documents in the Document tab for Orders.

      • Invoice numbers are auto-generated and include a prefix.

      • Paging has been added to the Invoice Lines section of a Sales Invoice.

  • Create Linked Work Orders from Mobilise
    New feature to create Linked Works Orders from Mobilise has been implemented. This functionality allows field operatives to create new orders related to their current work, with options for immediate work or future scheduling.

  • Purchase Order Enhancements
    Enhancements have been made to:

    • Materials Management > Purchase Orders Dashboard > Header tabs/All lines. The Purchase Order screen now displays the total price of the PO, providing users with a quick overview of the purchase order's value without the need for manual calculations.

    • Materials Management > Purchase Orders Dashboard. A new 'Cancelled' option has been added to the bulk update functionality on the Purchase Order Dashboard, allowing users to efficiently manage and update the status of multiple purchase orders simultaneously.

  • Planned Works Functionality Enhancements
    Enhancements have been made to Planning > Job Planner. The Job Planner includes batch operations for visits, allowing users to revert multiple non-started visits to 'booked' status and batch delete booked visits, improving efficiency in managing cancelled or changed jobs.

  • Job Management (Connect) – Optimise Enhancements
    Enhancements have been made to:

    • The system now sends the Job Management (Connect) Works Order Number to Optimise, improving visibility and allowing for more effective scheduling in Optimise.

    • A Target Date and Time can be set for individual job items on an order, allowing for more precise scheduling, which is particularly useful for time-sensitive tasks like site clearances.

  • Job Management (Connect)Asset Management Enhancements
    Enhancements have been made to:

    • Customers > Asset Management > Asset Details. Assets can now have multiple barcode references. This includes changes to the UI for displaying and adding multiple barcodes, as well as updates to the API calls and search/filter functionalities to accommodate the new structure.

    • Config > Survey & Form Configuration > Photo Types. There is a new configuration option for Asset Documents and Photos. Administrators can now specify which documents and photos should be sent to Mobilise for asset-related visits, and operatives can upload new photos and documents against assets from the field.

  • House & Estate Inspection Solution Enhancements
    Enhancements have been made to:

    • Associate blocks or estates to a patch, these can then be used to automatically schedule inspections based on the person responsible for carrying out inspections on that block or estate, this enables users to see the properties they are responsible for and when inspections are due.

    • Property attributes can be sent to Mobilise, so they can be mapped to a form on a Visit, which then saves the user time when completing the form.

  • Email Communication Formatting
    Config > Organisation > Contracts > SMS & Email Communication. A contract’s email configuration can now contain body text paragraphing.

  • Customer Custom Fields on Work Order Detail View
    Enhancements have been made to the Order Details View to use customer custom fields. This allows Orders on the configured contracts to have Work Order Details tab which displays the defined view.

  • New PO Status for Awaiting Approval
    Enhancements have been made to include a new PO status of Awaiting Approval, which comes after Not Approved, and allows users to release a PO for approval.

  • Tax Treatment field on Supplier
    Enhancements have been made to Config > Materials Management > View Suppliers > Choose Supplier > Subcontractor Settings. A new Tax Treatment field has been added to the Supplier’s Subcontractor Settings.

  • Non-Billable Job Code Enhancements
    Enhancements have been made to Job Codes to include a billable toggle, this is also included on the .csv import of Job Codes.

  • BARIS Cancellation Reason Codes
    Enhancements have been made to the Order Cancellation Reason Codes sent via the BARIS integration, the Cancellation Reason Codes are now taken from the Cancellation Reason on the Order.

  • BARIS Phone Number
    Enhancements have been made to take the contact telephone number, when creating an Order, from the contact with a precedence=1.

  • Add Order Contact Fields and Sub-Work-Stream to Bulk Order Import
    Enhancements have been made to the Bulk Order Import to include the Order Contact field and the Sub-Work-Stream.

  • Admin Audit
    Enhancements have been made to add an Is Admin flag, which is only available for Admin user, and to create a new entry to the audit when a user has Is Admin enabled or disabled.

  • Auto-GRN and Use Non-EDI Direct POs
    Enhancements have been made to direct Purchase Orders and Lines raised from both Mobilise or Job Management (Connect) Service Desk, they now automatically get Goods Received and are set to “Used” at the point of PO creation.

  • KPI Performance
    Performance improvements have been made to KPIs to allow caching for KPI widgets. A configurable refresh interval option has been added, which controls how regularly the KPI results are updated for the user. This reduces the amount of times the KPIs are loaded, including loading the actual results of the filters.
    This enhancement must be configured, and KPI’s updated, before the performance improvements are seen. By default, all existing KPIs are still set to real time, meaning the result is updated every time the page is refreshed or navigated to.
    We strongly recommended setting the refresh interval for KPI’s widgets which do not need to be updated in real-time.

    Default KPIs (only accessible to TM internal staff) are also set to real-time by default, so any newly added KPIs default to real-time. Existing and new KPIs can have the refresh interval manually changed, the interval options are: Real-time, 5m, 15m, 30m, 1h or 24h.

    For example, if the interval is set to 15m, the results will be cached when a KPI is first loaded, and for the next 15 minutes if the page is refreshed it loads the cached results, new results are only loaded after 15 minutes and when the page is refreshed again. The KPI results are not changed automatically without being refreshed. This means the results are only recalculated once every 15 minutes.
    The refresh button on individual KPI widgets can still be used and provides the latest result immediately.

    If you would like the default KPIs to be updated so all new KPIs have a default refresh interval without having to be manually changed by the user, please contact support to change this.

  • MessageBus - GetTopics
    Enhancements have been made to the GetTopic API call to load message bus topics more quickly.

  • Send CSAT Data to FSI
    New triggers have been created to send the following data from Job Management (Connect) or FSI:

    • The CSAT Survey being sent to a tenant

    • The CSAT Survey being returned, with the overall score

  • My Ordered Items Enhancements
    Enhancements have been made to My Ordered Items:

    • A new API has been created to update the PO’s External ID and it to Approved.

    • The PO External ID is sent out of the message bus with the other PO details to the My Ordered Items array.

    • When using the My Ordered Items form, we pass back the Qty to be received for a PO line, and GRN the line. The GRNs from Mobilise trigger the Purchase Order Line Receivemessage bus topic.

  • BARIS Non-Billable changes to varying Orders
    Enhancements have been made to the BARIS configuration. A new setting has been added to ‘exclude non-billable codes from variations', when this setting is enabled non-billable codes are excluded from being sent for orders which are varied in NEC.

  • SupplierOrder and SupplierOrderLineReceive Message Bus Enhancements
    Enhancements have been made to the SupplierOrder and SupplierOrderLineReceive message bus subscriptions to only pass out data where the PO and then the GRN’ed lines are for certain suppliers.

  • MHA SUN Integration Enhancements
    Enhancements have been made to the MHA SUN Integration:

    • Exclude Credit Notes from the output

    • Changes to fields for Van Stock Replenishment POs

  • Optimise Integration Enhancements
    Enhancements have been made to the Optimise Integration to allow users to manually set the Planned Start Date and Target Completion Date when releasing a Job.

  • Job Management (Connect)– Asset Management Integration
    A new API has been introduced to create Works Orders for specific assets in Asset Management. This allows for better tracking of planned and completed works, with Asset Management able to trigger order creation in Job Management (Connect) and retrieve order information.

  • Asset Management Property Data APIs
    New APIs have been introduces to update the HHSRS, Asbestos and Decency tabs against a property in Asset Management with the information stored against the corresponding property in Job Management (Connect).

  • Visit Status API
    A new API has been created for Visit Status updates outside of Mobilise. The API accepts the Accepted, Started and Completion statuses, along with the Visit Reference, Visit Status with the Date and Time, Visit Result and Operative Comments.

  • Rackspace - Deprecated API Endpoint Removal
    API endpoint hostnames are being retired to simplify the DNS and application configuration, and will be replaced with the hostname identity.api.rackspacecloud.com. The API endpoints hostnames being retired are as follows:

    • api.mosso.com

    • auth.api.rackspacecloud.com

    • lon.auth.api.rackspacecloud.com

    • hkg.identity.api.rackspacecloud.com

    • identity.prod.ord1.cidm.rackspace.net

    • identity.prod.lon3.cidm.rackspace.net

An issue has been fixed where the Internal Resource ID was being output instead of the External Resource ID.

An issue has been fixed with the OOH Visits to Mobilise, where the Order Comments were not pulled through to the Visit.

An issue has been fixed where certain Job Codes could not be removed via a Variation Request.

CONSUP-962

An issue has been fixed with the filter on the drilldown on the Order Management screen from the KPI Widgets, where intermittently the filter on the screen would be blank or completely different.

An issue has been fixed where it was not possible to select or deselect several contracts on the dropdown list in KPI Dashboard > Widget > KPI Settings.

An issue has been fixed where the Start Date Time of a shift from Connect Mobile was being recorded as the time the Start Shift Form finished being processed in Job Management (Connect), rather than when the Start Shift Form was actually completed on the device.

An issue has been fixed when carrying out a Supplier Part Reference (.csv) import, where it was not updating the existing Supplier Part Reference, but instead created a brand new record.

CONSUP-1051

An issue has been fixed where the generated Asbestos PDF was not displaying any photos from the asbestos records on the customer/property.

CONSUP-1056

An issue has been fixed when drilling down into the API methods within the Cloud Dialogs Web API Booking Help Page, where the page wouldn’t load and instead showed an error.

CONSUP-1063

An issue has been fixed when trying to subcontract 2 or more Job Codes with different locations to a Supplier with the ‘Only allow subcontractor job codes for ad-hoc subcontracting’ setting enabled, the Supplier did not appear for selection.

CONSUP-1076

An issue has been fixed when applying a ‘Contains Note of Type’ filter to the Order Management Dashboard, or the Order KPI, it caused the query to fail and no data to be displayed.
