Job Management (Connect) - Release 9.37

We have been enhancing Job Management (Connect) since the last release, adding new features and addressing known issues to improve quality.

What’s New

  • Add A Line Button on Purchase Order Screen

    An enhancement has been made to Materials Management > Purchase Orders.

    An Add a line button has been added to the top of the screen for Purchase Orders. This enhancement improves user efficiency by providing quick access to add new lines without scrolling to the bottom of the page.

  • Download Page Opens In Separate Tab

    An enhancement has been made to Configuration > Materials Management > Material Codes - Download.

    The download page functionality has been updated to open in a separate tab. This improvement enhances user experience by allowing users to continue working in the main application while accessing downloaded content.

  • Increased Character Limit On Comments Box for PO Line

    An enhancement has been made to Materials Management > Purchase Orders Dashboard > Create Purchase Order.

    The character limit on the Comments field when adding a PO line has been increased. This change provides users with more space to add detailed information when creating purchase order lines.

  • On Order Column Added To Stock Take

    An enhancement has been made to Materials Management > Stock Dashboard > Choose Stock Location > Stock Takes > Start New Stock Take.

    An On Order column has been added to the Stock Take feature. This new column provides additional visibility into inventory management, allowing users to see items which are currently on order during stock takes.

  • Set Work Start Date As Blank When Raising An Order

    A new feature has been added to Config > Organisation > Contracts > Select contract > Date Processing - Set Work Start Date As Blank When Raising An Order.

    This allows the work start date to be set as blank when raising an order, and is configurable per contract. This addresses issues with KPIs when orders are raised in advance with future start dates.

  • Connect > Optimise integration - Sales Order API Auto-Release to Dynamic Scheduling (Optimise)

    The Sales Order API has been enhanced to automatically release jobs to Optimise upon creation via integration. This allows jobs raised in third-party systems or portals to be automatically created in Job Management (Connect) and released to Dynamic Scheduling (Optimise) for scheduling without human interaction.

  • Connect > Optimise integration - Description Field for Job Sent to Dynamic Scheduling (Optimise)

    Enhancements have been made to send the Asset Details and Custom Data information to Dynamic Scheduling (Optimise) and display it in the Description field of the Job.

  • Asset Management > Mobilise - View Open Orders for Assets from Mobile Working (Mobilise)

    A new feature has been added to view open orders for assets from Mobilise. Users can now scan an asset's barcode and view all open or upcoming work in Job Management (Connect) via the Mobile Working (Mobilise) app, enabling staff to easily manage and update works before creating new jobs.

  • Asset Management > Mobilise - Link SSRS Documents to Assets

    A new feature has been added to link SSRS Documents to Assets, which means when Mobile Working (Mobilise) calls SSRS for a report associated with a form task, the system now associates the generated document with the correct Asset in Job Management (Connect), improving document management and traceability.

  • Create Orders from Asset Management

    A new feature has been added to Customers > Asset Management.

    The Asset Management Dashboard allows users to create Orders for multiple Assets simultaneously. Users can now filter and select multiple Assets, then use the new Create Order function to raise maintenance work in bulk without leaving the screen.

  • Create Order from Asset Details

    Enhancements have been made to Customers > Asset Management > Asset Details.

    The Asset Details screen now includes the ability to create an Order directly from within the Asset information. This streamlines the process of raising work orders, ensuring Assets are automatically linked to their corresponding Orders.

  • Job Management (Connect) > Asset Management Integration

    A new API has been implemented to enable property creation and updates from Job Management (Connect) to the new Asset Management system. This integration allows property data to be used in the new Asset Management system for forecasting while maintaining Job Management (Connect) as the master system for property records, reducing the need for users to update multiple systems.

  • Job Management (Connect) > Asset Management Integration > Asset Category & Sub-Category Configuration to Asset Management

    Asset Categories and Sub-Categories configuration has been moved from Job Management (Connect) to the new Asset Management system. A sync of Asset Category data has been implemented between Job Management (Connect) to the new Asset Management system, with all current configuration and logic available on an Asset Category now moved to the Sub-Category level.

  • Contract Configuration - Create Contracts via API

    A new API has been implemented to create contracts programmatically. This feature replaces the manual workaround of running scripts daily, automating the process of creating and configuring contracts with various settings such as Financial Completion Rules, Visit Checking, and External Integration.

  • Programmes Dashboard

    A new Programmes of Work entity has been introduced to Orders > Programmes Dashboard, allowing users to create and manage work programmes. A new Programmes Dashboard has been added to the Orders header, displaying a list of all the Programmes in the system, selecting a Programme shows provide information on the associated Orders such as the Primary Order Number, Status and Work Start Date. This functionality enhances project management capabilities within the system, enabling better organization and oversight of large-scale work initiatives.

    This needs to be enabled by support.

  • Prevent Raising Compliance Order

    A new feature has been added to Configuration > Assets.

    This prevents raising Compliance Orders when there is a Pending Last Compliance Check Date. This enhancement aims to improve the accuracy and efficiency of compliance-related processes.

  • Link Appointment Letters to Orders

    A new feature has been added to Orders > Order Management > Order > Documents.

    Appointment letters are linked when generated from the Send Letter Message Template, to the corresponding Order's Documents tab. This enhancement makes it easier for users to check whether a letter has been sent and access the document directly from the order, improving overall workflow efficiency.

  • Bulk Update to Financially Complete API

    A new API has been implemented to allow bulk updates to financially completed records. This enhancement streamlines the process of updating multiple financial records simultaneously, improving efficiency and reducing manual effort.

  • Access Stage Message Templates on Visit Completion

    Enhancements have been made to Configuration > Order Management > Access Stages.

    Users can now access Stage Message Templates during Visit Completion. This feature enables more efficient communication and documentation processes, allowing for standardised messaging at crucial stages of a Visit.

  • Quote Improvements

    Enhancements have been made to Orders > Quotes Dashboard > Quotations:

    • A new option has been added to the contract to enable auto-generation of Quote External ID. This includes the ability to choose a prefix for the Quote External ID, similar to prefixing the Primary Order Number. When configured, creating a quote use an autonumbering system with checks to ensure the number is not already in use, skipping to the next number if necessary.

    • The Summary and Notes fields on Quotes have been updated, removing unreasonable character limits. Additionally, when a Quote is released and a PDF is generated using a Message Template, the system now respects carriage returns and line breaks in the Notes and Summary fields, ensuring proper formatting in the output.

    • The Contract dropdown menu when raising quotes is now blank by default, prompting users to actively choose a contract. This change prevents accidental selection of the wrong contract. To ensure accuracy, the system now prevents a Quote from being Saved or Released if a Contract has not been selected, and prompts the user accordingly.

  • Events Operative Comments

    An enhancement has been made to the Events output to include the Operative Comments.

  • Order Notes

    An enhancement has been made to the Order Notes to allow them to be passed via the integrator as they are created or updated.

  • Apply Compliance Schedule Based on Asset Category, Sub-Category, and Model

    Enhancements have been made to Compliance Schedules to allow users to define the rules combining Category, Sub-Category and Model, and assigning a Compliance Schedule to each. The Compliance Schedule is applied to all assets matching the specified criteria.

    When adding new assets without Compliance Schedule details, the system checks the rules and the and assigns the appropriate Compliance Schedule if the asset matches.

  • Date Calculation Functionality and Configuration Removed from Asset Category

    Enhancements have been made to Asset Categories when in Asset Management mode, to support the new Asset Management system integration. The following fields for Asset Order Entry have been removed from Category and Sub-Category:

    • Planned Replacement Warning

    • Planned Work Warning

    • Warranty Expiry Warning

    • Recent Activity Warning

    • Scenario 1 Life

    • Lifetime

    • Planned Date

    This is because the new Asset Management system will hold this configuration and do the necessary date calculations.

    This is only applicable for customers with the new Asset Management system enabled, for all other customers it will continue to work as before.

  • Show Primary Order Number on Mobile Working (Mobilise) Diary Items

    Enhancements have been made to Visit details sent to the Diary Items on Mobile Working (Mobilise), the Primary Order Number is now included.

  • GET Code Templates API

    A new API has been implemented to retrieve available Code Templates, along with their diagnosis levels and any associated images.

  • Shared Diary Views

    Enhancements have been made to the Diary View to allow users to define and maintain standardised views, which can be made accessible to others. This promotes consistency across teams and reduces administrative overhead in managing starters, leavers, and role changes. It also ensures a uniform and efficient experience for teams using the diary feature.

  • Auto-Release Van Stock Stores Requisitions

    Enhancements have been made to Van Stock Stores Replenishments to generate them as automatically approved, so the Requisition Status and Requisition Line Status will be set to Approved.

  • Greensquare PO Import Updated to Allow Setting of PO External ID

    Enhancements have been made to the Greensquare PO Import to allow the PO External ID to be updated.

  • Ability to Cancel a Quote

    Enhancements have been made to Quotes provide the ability to cancel them. A button has been added to the Quote to change the status to Cancelled, which also allows filtering on this status. This is only available for New and Released Quotes.

  • Out of Hours KPI Filter

    Enhancements have been made to be able to KPI filter on the Out of Hours flag set on Orders. This new KPI filter is available on Order Entry, Order Management and Planning KPIs and Dashboards.

  • Subcontractor Variation Documents

    Enhancements have been made to Subcontractor Order’s Documents tab to include the Subcontract order variation request approved and Subcontract order variation request rejected documents.

  • Button on Customers Screen to Run Asbestos Survey

    A new feature has been added to the Customers Asbestos tab to run the Asbestos Survey. This includes a new setting on an Organisation to choose the Asbestos Message Template. The generated document is also attached to the Customer and visible in the Documents tab.

  • Sales Order PATCH to Allow On Hold Status Update

    Enhancements have been made to the Sales Order PATCH method to allow a status of On Hold. When the Order Status is updated to On Hold an Active On Hold Reason needs to be provided.

  • Create/Update Programme API

    A new API has been implemented allowing the creation of a Programme and linking of associated Orders. The API also supports updating of existing Programmes, including adding or removing Orders.

  • Set Programme on Bulk Order Import

    Enhancements have been made to the Bulk Order Import to include a new Programme ID column. This allows new Work Orders to be created via an import and instantly added to an existing Programme.

  • Pull Down Visit for an Asset’s Order

    Enhancements have been made to allow Mobile Working (Mobilise) users to release Visits to them for a chosen Order, by choosing the Order and submitting a Form.

  • New Message Bus Variation Request Array Token to the Order Topic

    A new Message Bus Variation Request Array Token has been created for the Order Topic, which only groups the variation requests where the location and billable status are the same, otherwise the variation requests are split out.

An issue has been fixed where the travel time was not being included in the Work Order labour consumption when it was being processed through INT 283.

CONPS-251

An issue has been fixed with the callback checkbox configuration options for the customer rating on contracts.

CONPS-365

Issues have been fixed with subcontractor appointment SMS times, where if the appointment date was not set, and the start/end date and time from the subcontractor visit was used is caused problems with the date for new follow on visit, and it was not possible to simultaneously set the subcontractor order appointment date and also create a subcontractor visit.

CONPS-391

An issue has been fixed when loading customer/contact information, where making an update to the same contacts with the same details, duplicated the primary contact, but deactivated the duplicate, and any subsequent updates for the same primary contact alternated between them both. Activating the flag on the admin panel “Allow updating customer contacts on import” still created one duplicate and did not update as expected.

CONPS-436

An issue has been fixed with the Job Code search when creating an Order, where it returned results which didn’t contain the search criteria.

CONPS-439

An issue has been fixed when a variation was rejected with comments, the rejection was successfully passed through the integration, but the comments were not picked up.

CONPS-482

An issue has been fixed when the email configured to send on the contract was incorrectly including a link to the customer rating survey, even though it was not included in the required text.

CONSUP-1061

An issue has been fixed where Rejected Variation Requests were incorrectly included in the ‘Net Change’ and ‘Total Cost’ calculations.

CONSUP-1074

An issue has been fixed where the setting for Manual Planning Window on Resource Visualiser was not working.

CONSUP-1077

An issue has been fixed with the SALESORDER.ORDERCREATEDDATEJSON Message Bus token which was surfacing the Order start date/time (UTC) time instead of the Local time.

CONSUP-1078

An issue has been fixed when booking a Re-appoint for the first Visit of the day, where it was ignoring the Exclude First Visit Travel Time From Scheduling setting on the Resource, which caused the first Visit’s travel time to be within the resources working hours.

CONSUP-1082

An issue has been fixed where there was no option to control the Job Planning button on the Planning Board via the Security Profile.

An issue has been fixed when booking an appointment, where the Start and End Time of the Planning Window were amended for the newly created Visit, it displayed them incorrectly on the Diary.

An issue has been fixed where if multiple Resources were configured with Equipment Compliance, only the firstly configured Resource was appearing on the Appointment Booking screen.

An issue has been fixed where the end user could change the number in the Customer Portal URL to show a different customer record.

An issue has been fixed where the Team filter within the Resource Summary screen in some cases was not work as expected, and was showing the incorrect number of Visits for the Team selected.

Improvements have been made to the loading time of the Resource Visualiser on the Planning Board.

CD-14889

An issue has been fixed with the paging display on Config > Property > Decency Compliance Rules, where nothing happened when selecting the second page.

CD-22023

An issue has been fixed with the Asbestos report PDF where the volume of data when over 70 rows caused the tool used to generate ‘Open Office’. A new report has been developed using HTML as the template format, and it no longer uses ‘Open Office’ to convert to PDF.

CONSUP-1106

An issue has been fixed where the ‘Book Multi-Day’ tab incorrectly appeared on the pop-up shown when dropping an order onto a resource on the Planning Board.

CONSUP-1166

An issue has been fixed where the screen would buffer and go blank when trying to access a particular asset type, i.e. boilers, this happen for all instances of the asset type associated to all properties on the same contract.

CONSUP-1231

An issue has been fixed where since the release of 9.37, the Appointment Booking screen would produce an error if ‘Limit resource selection by order attribute’ was enabled, and there were no resources with the required attributes who could attend the visit.

CONPS-312

An issue has been fixed when raising “Direct” Stores Requisitions to one operative but a different operative collects the requisition, where it caused a stock level discrepancy.

CONPS-534

An issue has been fixed when the ‘Prevent Visit Rearrange on Visit Reappointment’ was on, it was preventing the BARIS integration from triggering the visit rearrange via the API as it should have been.

CONPS-622

An issue has been fixed where Order Notes were backing up the integrator queue and none of the XMLs exported. All events were created in the channel, but they were not exporting via the integrator.

This was a known issue which was introduced to 9.37 during UAT, and is linked to the work carried out for CD-18633 - Order Notes Events. This issue was addressed during UAT, and was therefore addressed before the live release of 9.37.

 

A fix has been included for an issue with the Asset Management Decency Workflow to ensure the correct Categories/Sub-Categories are picked up.

 

Minor changes have been made to support the Job Management (Connect)/Asset Management integration.
