Enhanced Flexi Rules Screen to Allow Pro Rata Calculation
Maximum Flexi Leave Hours Per Flexi Period
A new feature has been introduced to allow a limit on the maximum number of Flexi Leave hours a staff member can book within a Flexi Period. This is configured in Time Sheets > Flexi-Time > Flexi-Time Rules by setting the value for Maximum Flexi-Leave Hours that can be granted per period. You can specify any number of hours between 00:00 and 999:59. This will only apply to staff who have a contract with Flexi Hours option set to Yes in the Contract Types screen.
When a user attempts to book Flexi Leave which exceeds this maximum limit, a warning message will be displayed. This warning can appear in the following scenarios:
-
When entering a Flexi Leave absence in the Absence Records screen of the main client.
-
When viewing or granting a leave request containing Flexi Leave via the main client Annual Leave Web Applications screen.
-
When submitting a Flexi Leave request on the web, provided Automatic Web Application rules are enabled and Check Limit Periods is set to Yes.
Setting the maximum Flexi Leave Hours to 00:00 will disable the functionality and a person will not be limited to the number of Flexi Leave hours they can book.
Pro-Rating the Maximum Hours for Part-Time Staff
The maximum Flexi Leave hours can also be pro-rated for part-time staff. To enable this, select the Flexi-Time Rules Pro Rata button in the Flexi Time Rules screen and create a new rule period with Pro Rata Max Flexi-Leave Hours set to Yes.
When enabled, the system will multiply the Max Flexi Leave Hours limit by the employee’s total WTE as of the first day of the Flexi Period in which the Flexi Leave falls. The calculations will only consider the Pro Rata Rule which exists on the first day of that same Flexi Period.
If the Pro Rata Rule has Pro Rata Max Flexi-Leave Hours set to No, or if no Pro Rata Rule exists for the first day of the Flexi Period, the Maximum Flexi Hours Limit will not be pro-rated and the Full Maximum Limit will be applied to part-time staff.
