System Data - Portfolios
The System Data > Portfolios tab lets you add and manage the portfolios available for use with your assets.
Each portfolio can be assigned to only one organisation, and can only contain assets for one data model.
For more information on creating and managing organisations see System Data - Organisations.
The following information is shown for each portfolio:

Portfolio ID - the identification number given to the portfolio.

Name - the name of the portfolio.

Organisation - the name of the organisation assigned to the portfolio.

Data Model - the data model assigned to the portfolio, which is either:

Is Active* - indicates whether the portfolio is available to be assigned to assets.

- this shows the portfolio is available to be assigned to assets. -
- this shows the portfolio is not available, and hidden from assets.

Last Updated* - the date and time the portfolio was last updated.

- select for the following options:-
Edit - select to edit the portfolio details.

Deactivate - select to deactivate the portfolio. This option is only available for Active portfolios.

You can also do the following in Portfolios:

Add Portfolio - add a new portfolio.

Edit Portfolio - edit an existing portfolio.

Search* - enter the full, or partial, Portfolio ID, Name, or Organisation into the Search field and press Enter on the keyboard to display all matching results in Portfolios.
*The Search field is a ‘begins with’ search, therefore ensure the text entered is always the beginning word/s of what you are searching for.
Add Portfolio
To add a new portfolio:

Select System Data.

Select the Portfolio tab.

Select Add Portfolio.

The Add New Portfolio dialog appears.
Enter the following information:

Portfolio ID* - The ID entered must be unique, can be alphanumeric, contain symbols and have a maximum 64 character limit.

Portfolio Name*

Organisation - select the relevant organisation from the dropdown.

Data Model from the dropdown, select either:

Connect - provides the basic requirements to work alongside Connect.

TM ALM 1.0 - provides additional functionality, such as Classifications, Spatial Hierarchy, and Energy.

Toggle to indicate whether the Portfolio Is Active.

*These are required fields.

Select Save Changes.
Edit Portfolio
To edit a portfolio:

Select System Data.
-
Select the Portfolio tab, for the portfolio you want to edit, select the
to open the context menu. -
From the context menu select Edit.

The Edit Portfolio dialog appears.
Update the following details as required:
-
Portfolio ID
-
Portfolio Name
-
Organisation
-
Data Model
-
Portfolio Is Active - indicates whether the portfolio is available to be assigned to assets.

Select Save Changes.
