Add and Edit Resource Details

Use the Optimise Admin > Resources > Resource > Details tab to specify a resource's contact details, default start location, and mode and range of travel. You can also configure thresholds, attributes, skills and other preferences that define how jobs are scheduled to this resource.

To edit resource details:

  1. In WebAdmin select Optimise Admin.

    The Universal Settings and Worlds page appears.

  2. In the Universal Settings section, select Resources.

    The Resources page appears.

  3. Select the resource you want to edit.

    To filter the resources list, select the Search field and start typing a resource name.

    The Resource page appears, with the Details tab displayed by default.

  4. Select Edit Resource Details .

  5. Add or update the following information as required:

    • Profile - edit the Username, Surname, Forename, Job Title and contact details.

    • Default Start Location - select the Address field and start typing to find the address. When you select an address, the map updates to display the location. Alternatively, you can use the map controls to zoom in and navigate directly to the required start location.

      If a system default time zone is configured in your tenant, the Timezone field is available for the default start location. To change the time zone for the resource, select an option from the dropdown. For more details of the available time zones, refer to Time Zone Mapping.

    • Kanban Settings - select the Kanban WIP Limit field and enter a number to set a limit on how many visits the resource can view at one time on the device. For example, setting it to 3 means the resource can see three visits at once after requesting or completing visits. By default this field is set to 0, meaning the resource can have an unlimited number of visits in the Totalmobile app.

      This setting applies to scheduled visits, and not to jobs or visits that are yet to be dispatched.

    • Minimum Value Threshold - select the Threshold field and enter the minimum total job value for this resource. If work is automatically allocated to this resource, Mendel schedules jobs based on whether the minimum value threshold has been met. By default this field is set to 0, meaning no threshold is set.

    • Travel

      • Select the Mode field, and select Driving or Walking from the dropdown.

      • Optionally, select the Range field and enter a travel range in miles. The range limits the radius in which Mendel schedules jobs to resources.

    • Efficiency - select the Percentage field and adjust a resource's efficiency. When a job is allocated to a resource, the system applies the efficiency percentage to the job's duration. For example, a 60-minute job assigned to a resource with 200% efficiency will have its duration reduced to 30 minutes. The default value is 100, meaning that job duration is unaffected by the percentage.

    • Attributes

      • Select the Attribute Name field and enter the attribute you want to assign to this resource.

      • Select the Attribute Value and enter an appropriate value.

      • Select Assign New Attribute .

      For example, you could add a Region attribute for the geographical area where the resource works, and if that matches the job's attributes, the system will consider this resource as a scheduling option.

    • Skills

      • Select the Skill field and enter the skill you want to assign to the resource.

      • Optionally, select the calendar icon and set the skill's expiry date.

      • Select Assign New Skill to add the skill to the resource.

    • Indefinite Leave - toggle this option to Yes to state that a resource is indefinitely unavailable, for example if a resource is sick but the planner does not know when they might return to work. The Appointment Booker and Mendel exclude resources that have indefinite leave set to Yes from their capacity calculations.

    • Banding Group - select the Group field, then select a banding group from the dropdown.

      You can assign a banding group to both resources and jobs. Each banding group can then be assigned a weighting per World. If a job has a banding group with a weighting and this setting is active, then only those resources with a banding group weighting of same or higher can work on those jobs.

    • Preference Group - select the Group field, then select a preference group from the dropdown.

      When you select a preference group, Mendel uses this to prioritise specific groups of resources for job allocation.

  6. Select Save .
