GRS - Release 6

We have been enhancing GRS since the last release, adding new features and addressing known bugs. This overview outlines the updates available.

Some features may require additional setup by Totalmobile. If needed, reach out to your Account Manager for access details.

GRS now allows Staff Level Import Data to be received in 15, 30 and 60 minute intervals. Previously only 60 minute/hourly values were able to be sent to GRS as part of the import process. Staff Level records can now be sent using a decimal hour format e.g. 9.25 for time 9:15 and 15.75 for time 15:45.

SaaS - Call Centre - DGP - include 15m intervals

It is now possible to choose 15 minutes as the default interval for a Staff Monitor group on the Analysis > Monitor > Staff Level Setup screen. The 15 minute groups can be run on the Demand Gap Planner and the chart will show the data at 15 min intervals. When a group is first selected, and the focus taken off the cell (or click Apply) the Interval option will automatically update to match the group’s default interval setting. The Interval can still be be manually changed; set the interval drop down on the report to 15, 30 or 60 mins to change the display of data for the deleted group. The Pivot option on this report has also been updated to display the data in 15, 30 or 60 min rows.

Changing the interval may have an effect on the calculated ‘score’ each shift receives in the report, for example where a shift begins part way through an interval - such as at 0730 and the report is run in 60 min intervals - then the shift does not contribute 100% to the demand in every interval. However, for the same example, changing the report to 30mins would then mean the shift contributes 100% in every interval.

Note that 15 minute groups do not currently work effectively as Annual Leave groups (Use as Leave / Absence Group = Yes via the Staff Level Setup screen), future development will be required. The minute groups can be run on the Staff Level Monitor report but not in 15 minute interval; the report will use the highest demand value within the 30 or 60 min Interval to display the demand data.

GRS - Daily Posting Sheet - Ref Break column - Remove a refreshment break

On the Daily Posting sheet functionality has been added to allow ref breaks to deleted. There is also the ability to undo and redo the ref breaks prior to saving. On adding or deleting a ref break a message will appear in the Action panel at the bottom of the Posting Sheet advising if something has been added to deleted. The system logs analyses will show when a ref break has been added or deleted.

When this is ticked, deductions will be made to the posting counts on the chart view where there are specified refreshment breaks added to the Daily Posting Sheets. This option does not affect the 'score’ each shift gets (in terms of how the shift helps to meet demand).

Added a new report called WTR Dashboard, located under Analysis menu. This report shows a summary of breach information for the following roster rules:

  • 35/70 Hours Rest Rule

  • Working Time Regs Check - Breach

  • X Hours Between Duties

The report can be run by Location, Group or Person. The top grid will show the breach information of each Breach Type on individual rows. An additional row called All Breach Types will show at the bottom and will display the breach information of all 3 Breach Types, combined.

The breach data for each Breach Type is refreshed as part of a scheduled task, which can be scheduled to run overnight. During this refresh, all user defined Roster Alerts for all 3 Breach Types will be assessed for everyone in the Organisation who the Roster Alert is assigned to:

  • For 35/70 Hours Rest Rule, the rule check(s) will be performed on the Refresh Date only and will be based on a persons Planned Shift data that is stored in Data Warehouse table GRSDW.POSTINGS.

  • For Working Time Regs Check - Breach, the rule check(s) will be performed on the Refresh Date only and will be based on a persons Planned Shift data that is stored in database table RSTREC_POSTINGS.

  • For X Hours Between Duties, the rule check(s) will be performed on the Refresh Date and the next 6 days and will be based on a persons Planned Shift data that is stored in Data Warehouse table GRSDW.POSTINGS.

Where a person has breached the rule requirements, a log of the rule break will be generated and made viewable in the WTR Dashboard report.

Users also have ability to run the scheduled task for each Breach Type manually via the WTR Dashboard report by selecting the row of the Breach Type and clicking the ‘Refresh Dashboard Data’ button on the right hand side. This will queue up and begin running the task for the Breach Type in the background. Once the task has completed, re-running the report will display the most up to date breach data for the Breach Type. Configuration is required from TM in order for the ‘Refresh Dashboard Data’ button to show in the report.  

Rule breach information is displayed in the following columns:

  • Breach Type: 35/70 Hours Rest Rule / Working Time Regs Check - Breach / X Hours Between Duties) / All Breach Types

  • Breach Count: The number of instances where the rule has been breached for the loaded Location, Group or Person

  • Breach People: The number of people who have breached the rule for the loaded Location, Group or Person

  • People Count: Report Loaded by:

    • Location - The number of people whose Working Location is the same as (or is below) the loaded Location/Branch

    • Group - The number of people whose Working Location is within the loaded Group

    • Person - Will show a count of ‘1’, representing the person loaded

  • Breach People %: The percentage of Breach People to People Count

  • Last Refresh: The Date/Time the breach data for the rule was last refreshed

Selecting a Breach Type row will populate the bottom grid with the details of who the rule has been breached for. Columns include:

  • Person Name: The person who has breached the rule

  • Primary Location: The Primary Location of the person who has breached the rule

  • Start Date:

    • 35/70 Hours Rest Rule - the Start Date of the first Target Hours period that has been breached

    • Working Time Regs Check - Breach - The Start Date of the WTR Period that has been breached

    • X Hours Between Duties - The first of two consecutive Shift Dates that caused a breach

  • End Date:

    • 35/70 Hours Rest Rule - the End Date of the last Target Hours period that has been breached

    • Working Time Regs Check - Breach - The End Date of the WTR Period that has been breached

    • X Hours Between Duties - The second of two consecutive Shift Dates that caused a breach

SaaS - Timesheet Authorisation - Personnel UDF - Time Sheet Authorisation Report

Continuation of the new ‘Personnel UDF’ Field Type, developed as part of ORG-6845: SaaS Timesheet Authorisation - Personnel UDF - Time Sheet Layout.

After adding the new ‘Personnel UDF’ Field Type to an ‘Authorise’ layout type, the column will be visible in the Time Sheet Authorisation screen when loading a location that has the associated layout assigned it. The contents of the column will show the Personnel UDF Value defined for a person on their Personnel Record, as of the last day of the loaded period. For people who do not have the Personnel UDF, the column will be empty. A filter icon will show in the header of the Personnel UDF column, allowing for the Time Sheet data to be filtered by people who have a particular Personnel UDF Value.

SaaS - Live view of Annual leave availability for staff while booking leave (P2)

Changes to the web versions of the Annual Leave RAG Report and Annual Leave Planner (under My Staff), providing two new System Options (Tools > System Options - Annual Leave section) to control data display:

GRS Web - Annual Leave RAG Report and Annual Leave Planner - Show Embargo information' - added to control the visibility of embargo details for a person/where Annual Leave Rules are in place. The standard Annual Leave Embargo checking method is used to check which locations/who the embargoes apply to.

When the option is set to ‘Yes’, the GRS Web > Annual Leave RAG Report will show embargoes in two ways:

  1. As a section at the top of the data view, labelled ‘Personal Embargoes’. Cells will be red for days with one or more embargoes that apply directly to the logged in user and say ‘Embargo’. The Location and Grade data will be blank, and the cells will have no tooltip. Both Date Range and Repeating Date range Embargo types, as set up under Annual Leave > Annual Leave Definitions > Annual Leave Embargoes, can be shown here. Even if the location of the report is changed, this section will always be relevant to the user (they must have the special permission for this screen to change the location).

  2. Against Annual Leave Rules data, as a tooltip, with value font in bold. Embargoes will show when they apply at or above the rule’s allocated location, on the dates of the rule allocation. Hold the cursor over or click on the date to see the tooltip information. The tooltip shows the location, date range and whether Class/Grade options were selected on the embargoes. Multiple embargoes may be listed in a single tooltip. Information is only shown for 'Date Range’ type Embargoes. Date cells which are outside of the Annual Leave Rule allocation dates will not show embargo information.

Note that full week data shows in the Personal Embargo section even where the report dates are less than a week, so it will be possible to see embargo information in this section that does not appear in the Annual Leave data section due to the truncated date range.

When the option is set to ‘Yes’, the GRS Web > Annual Leave Planner report’s Person report categoryview will highlight where one or more embargoes apply to the selected person. Both Date Range and Repeating Date range Embargoes will be indicated as a red bar below the date. Hold the cursor over or click on the date to see the tooltip information.

GRS Web - Annual Leave RAG Report - Show %WTE as Hours' - added to switch between the view of percentage information or Hours information for the ‘%WTE’ Annual Leave Rules. When this option is set to 'Yes’ the cells will show data in the format of 00:00/00:00, where the first value is the number of hours currently booked under the rule, and the second is the total number of hours allowed under the rule.

Added a new report called Annual Leave Rules Audit Log, under Annual Leave > Annual Leave Reports. This report shows a log of Annual Leave Rules (as configured under Annual Leave > Annual Leave Definitions > Annual Leave Rules) that were assessed for Annual Leave requests submitted on the web or manual bookings for leave that were entered through the main client.

Storage of logs is controlled by a new system option called ‘Annual Leave > Annual Leave Rules - Store rule check information’. Setting this option to ‘Yes’ will store the logs in the database to make them viewable later in the Annual Leave Rules Audit Log report. When set to ‘No’, no log information will be stored.

The report can be run by Person for a selectable Date Range. The top grid will show header records relating to an instance where Annual Leave Rule checks were performed on any of the person’s web requests or manual bookings that overlap the loaded the Date Range. The Date Created indicates the date and time the rules were checked. Each header record can be expanded to show the details of the person’s Working Locations and Class, Grade, Title during the period of leave, at the point the rules were checked.

Selecting a header record will populate the bottom grid with a row for each Annual Leave Rule that was checked for the person’s Web Request / Manual Booking. The Total Rules Broken column shows the number of times the rule was broken during the rule checks. Each rule row can be expanded to show a full breakdown of the rule checks in three different tabs called Log Details, Shift Details and Rule Break Details.

The Log Details tab shows the shift dates that were assessed as part of the rule check, with four columns showing information about the units allowed/used against the rule at the time of the check:

  • Units Allowed: the maximum units allowed for the Annual Leave Rule  

  • Units Used:

    • for People / People with Rest Days / Percent rules - the total number of people at the location who have booked Annual Leave for this shift date, including this person’s request/booking

    • for Hours or %WTE rules - the sum of Annual Leave hours for all people at the location who have booked Annual Leave for this shift date, including this person’s request/booking

  • Units Total: applies only to rule types of %WTE / Percent

    • for %WTE rules - the sum of Working Location Hours for all staff relevant to the Rule allocation

    • for PERCENT rules - the total number of people working at locations relevant to where the Rule is allocated

    • for other rule types – ‘N/A’

  • Units Used (%): applies only to rule types of %WTE / Percent - the percentage of Units Used compared to Units Total. For other rule types – ‘N/A’.

The Rule Status column indicates with a red cross if the Units Used or Units Used (%) value exceeds the Units Allowed (as calculated by this report) for each individual shift date. A green tick indicates the Units Used or Units Used (%) value is less than or equal to the Units Allowed.

The Shift Details tab shows the persons Shift, Hours and Rank (i.e. Grade) for the shift dates that were included in the rule check.

The Rule Break Details tab shows the rule break remarks for the dates where the rule was broken.

A new procedure has been implemented, which will run as part of the overnight process. This procedure will remove the log records from the database tables where annual leave rule check logs are stored:

  • ANNUAL_LEAVE_RULE_LOG_DETAIL

A new system option will also work along side this procedure, which will determine the number of months the log records will be retained, before being deleted. The system option is located below the Annual Leave category and is called ‘Annual Leave Rules - No. months to store rule check information’. On delivery of this development, the option will be set to ‘12’ months, by default.

A person who is in the security range of the role that does not have access to the screen, will generate a log in the Access Logs screen and in new Access column shows 'Denied' value.

If a person who is in the security range of the role does have access to the screen, it will generate a log in the Access Logs screen and Access column should show 'Granted' value.

For pre existing logs, the new Access column should show an empty value.

ORG-4178 Special Event & Organisation Locations – Ability to Set Overtime Authorisers

ORGANISATION_HEADER - creation and management of new table

A new database table called ORGANISATON_HEADER has been implemented, which will be used to store a header record for all locations in the Organisation. This table includes a DATE_CREATED and DATE_MODIFIED column for storing the dates of when a location is first created and edited.

An automated script will be run to insert the header records for all pre-existing locations. The DATE_CREATED for pre-existing records will be the Start Date of the earliest location record of the same RID (in database table ORGANISATION). The DATE MODIFIED for pre-existing records will be the Start Date of the latest location record of the same RID (in database table ORGANISATION).

When a new location is added, a procedure will be run with the overnight process that will insert the new header record into ORGANISATION_HEADER table. The DATE_CREATED and DATE_MODIFIED on the new header record will be assigned the Run Date -1 day. The header record will not be created until the procedure has been run.

When a location is edited, the same procedure will be need to be run with the overnight process in order for the changes to be reflected on the header record in ORGANISATION_HEADER table. Once run, the DATE_MODIFIED on the existing header record will be assigned the Run Date -1 day. The header record will not updated until the procedure has been run.

Overtime Authorisers - Authorisor Definition Screen - New Basic Rule

New option on Overtime > Overtime Definitions > Overtime Authorisers called ‘Add Basic Rule’ action button to setup a simple 'All Authorisers' or 'Specific Authorisers' group.

Select a Location to be covered by this authoriser group. Give the Authoriser Group a name. Set the Start and End Dates for this group to be active (defaults are start of location to 'open ended'). If the location chosen is a Special Event, these fields will not be active and will default to the start and end dates of the Special Event location. Use the Authoriser Type drop-down to change the group type:

  • 'All Authorisers' means that all personnel in the system show in the authorisers list.

  • Selecting 'Specific Authorisers' will cause the screen to change, so that a user can nominate specific people as Authorisers.

The lower part of the screen will change when Specific Authorisers is chosen as the Authoriser Type. The people list on the left is initially populated with all people in the organisation. The report options icon can be used to filter this list. Tick the people that will be Authorisers. Use the Add or Clear buttons to move ticked or selected people in/out of the Authoriser list on the right. Select a person in the right-hand list and click the Edit button to specify the dates that they can be an authoriser within this group. The number of people that can be specified as authorisers is controlled by a System Option called 'Maximum No. of authorisers to be added to a rule'. Users will be prevented from adding more than this number of people in the Overtime Authorisers 'Basic Rule' screen.

Overtime Authorisers - New Report to view Organisation record information

A new report called Organisation Details is available for GRS main client, which is located under Organisation > Organisation Details. This Grid View style report enables users view a breakdown of information for every location and branch in the whole organisation for a selectable Reference Date. The report options on the left include a multi location picker, which lets a user select one or more locations to view in the report. Alternatively, the Locations report option can be left empty which will cause the report to return details for every location in the whole organisation.

Information in the report includes:

  • Organisation - the top level of the Organisation Tree

  • 1st – 7th Level - the 1st to 7th Levels of the Organisation Tree relevant to the location, as of the report Reference Date

  • Location Name - the name of the location, as of the report Reference Date

  • Created Date - for new locations, this will show the date the location was first entered into the system. For any pre-existing locations, this will show the Start Date of the location (This refers to the DATE_CREATED as seen in new database table ORGANISATION_HEADER)

  • Location Start Date - the Start Date of the earliest location record with the same RID (in existing database table ORGANISTION)

  • Location End Date - the End Date of the latest location record for with the same RID (in existing database table ORGANISTION)

  • Transfer Code 1 - the value for Transfer Code 1 defined for the location in the Organisation Structure screen, as of the report Reference Date. For SWP only, the column name will need to changed to ‘On Call’ in the reports language set.

  • Transfer Code 2 - the value for Transfer Code 2 defined for the location in the Organisation Structure screen, as of the report Reference Date. For SWP only, the column name will need to changed to ‘Project Code’ in the reports language set.

Additional ‘hidden’ columns can be added to the report by right-clicking on any column header and selecting Column Chooser from the list. This will open a dialogue box containing the following columns which can be dragged and dropped into the report:

  • 8th - 10th Level - the 1st to 7th Levels of the Organisation Tree relevant to the location, as of the report Reference Date

  • Address - the address for the location, as of the report Reference Date

  • Email - the email address for the location, as of the report Reference Date

This Grid View report enables users to view the details of Overtime Authorisers for any Location within a selectable Date Range. Running the report by Location will display the relevant Overtime Authorisers for the location(s) selected. Running the report by Person will display all Locations the person is an Overtime Authoriser of. 

An extra check box report option is also available called 'Include Locations Without Authorisers', which is only applicable when running the report by Location. Ticking this check box will include rows for Locations that do not have any Authorisers within the loaded date range. The Authoriser columns for these Locations will be empty. Unticking the check box will exclude Locations that do not have any Authorisers within the loaded date range.

Overtime Authorisers - Amend Web Authoriser Timesheet Entry

For the ‘Islands of Duty with Overtime’ style Time Sheets on the web, a change has been made to the population of the fields for Pre-Authorised By and Authoriser, when entering an Overtime Claim. The people list for both fields are now filterable by the Overtime Authoriser group associated with the selected Location Worked. Only Overtime Authoriser groups using ‘Basic’ Rule Type will apply. Any Overtime Authoriser groups using ‘Advanced’ Rule Type will not be included the filter checks.

If the Location Worked is assigned an Overtime Authoriser group that is using ‘Basic’ Rule Type, the drop down list for both options will refresh and display the authorisers for that particular authoriser group only.

If the Location Worked is not assigned an Overtime Authoriser group that is using ‘Basic’ Rule Type, both options will check for the next branch above that is assigned an Overtime Authoriser group using the ‘Basic’ Rule Type; then populate with the list of authorisers for that group instead.

If the selected Location Worked and all branches above do not have an assigned Overtime Authoriser that is using ‘Basic’ Rule Type, the Pre-Authorised By and Authoriser fields will populate with every person in the whole organisation, regardless of the logged in users Security Range (as per original behaviour).

If the options are filtered by an Overtime Authoriser group where Authoriser Type is set to ‘Specific Authorisers’, the drop down list for both options will only show the authorisers of the group that either:

  • Do not have an independent start/end date

  • Do have an independent start/end date that overlaps the Shift Date of the claim

If the options are filtered by an Overtime Authoriser group where Authoriser Type is set to ‘All Authorisers’, the drop down list for both options will show every person in the whole organisation, regardless of logged in users Security Range.

The Rosters > Set Up Rosters > Set Up Special Events screen has been converted to use the definition engine, providing additional display, filter and sort features. The ability to add Basic overtime authoriser groups is also now directly accessible from this screen using the Add Authorisers button. This is the same screen as is accessible via the Overtime Authorisers screen.  The Location and Dates are already populated for the selected Special Event and cannot be changed. Once this form is completed and saved, the Authoriser details will show for the selected event in the lower part of the definition screen. The grey background for the entry in this example highlights that this is a Specific Authorisers rule. 'All Authoriser' groups will have a white background on the row. Only Basic Rules that apply to Special Events show in this grid. Advanced Rules can still be applied to Special Event locations from the Overtime Authorisers screen but will not be listed here. Basic authoriser groups created from the Set Up Special Events screen will show in the Overtime Authorisers screen, where they can be edited or deleted.
