Claim Form - Mandatory Project Code Option

A new Project Code Mandatory option has been added to the Time Sheet Layouts screen (Advanced Options > Settings tab). This Yes/No setting is available only when the Time Sheet Style is configured as Islands of Duty with Overtime.

  • When set to Yes, the Project Code field in the Overtime Claim form becomes mandatory, requiring users to select a value from the available list.

  • When set to No, which is the default setting, the Project Code field remains optional, allowing users to either select a value or leave it blank.

Overtime Authorisation - Claim Update

New functionality has been introduced to the Overtime Authorisation screen on GRSweb, enabling Project Codes to be amended for any claims displayed within the grid.

When the system option is enabled for Time Sheets > Web - Overtime Authorisation - Amend Project Codes, a Project Code dropdown field is displayed above the main grid. This dropdown lists all user-defined Project Codes that are active within the date range spanning from the earliest, to the most recent claim currently shown. Selecting different Claim Status will refresh the Project Code list accordingly.

Assigning Project Codes

To update the Project Code for one or more claims:

  1. Tick the required claims in the grid.

  2. Choose a Project Code from the dropdown list.

  3. Click Assign Project Code.

The Project Code column for the selected claims will update with the chosen value, highlighted with a yellow background.

At this stage, the Project Code has not yet been saved to the claims.

Saving Changes

To commit the updated Project Code, the selected claims must be authorised.

Once authorised, the Project Code will be displayed with a white background, confirming that the changes have been successfully saved.

Important Information

  • If a Project Code is assigned to a claim that is subsequently rejected, the assigned Project Code will not be saved.

  • Project Codes cannot be assigned to claims that are already linked to an Operation. If any of the selected claims are assigned to an Operation, a warning message will be displayed. The Project Code will only be applied to the selected claims that are not associated with an Operation.
