Optimise Schedule Settings

Use the WebAdmin > Optimise Admin > Select World > Optimise Schedule Settings page to define the behaviour and display of Optimise Schedule for a World. The options include:

  • The planner layout.

  • Thresholds for appointments and jobs in jeopardy.

  • The job card layout.

  • Map settings.

  • How travel time is calculated for manually scheduled jobs.

  1. In WebAdmin select Optimise Admin.

    The Universal Settings and Worlds window appears.

  2. In the Worlds section, select a World.

    The World Settings and Permissions window appears.

  3. In the Settings section, select Optimise Schedule Settings.

    The Optimise Schedule Settings dialog appears.

  4. Select Edit Settings .

    When this dialog is in Edit mode and these settings have previously been edited, a Version dropdown is displayed at the top of the dialog. Select an option from the dropdown to view the settings from a previous version.

  5. Edit the following settings as required.

    Section Settings
    Display

    Select the Start Hour field, then enter the hour at which the Diary view starts displaying schedule information. This enables you to hide any hours in the planner that aren't used. For example, setting the Start Hour to 8 means that the hours from midnight to 8am do not appear.

    Scale

    Toggle one of the options to Yes to define the increments displayed in the Diary view. Selecting smaller increments enables you to view shorter jobs more clearly. For example, if you are scheduling jobs of 5 minutes in length, you can split the view into 15-minute increments to allow those jobs to be displayed sequentially without any overlap.

    Committing
    • Toggle Confirm Commit to determine whether or not commit confirmation is active. If set to Yes, the user will be prompted to confirm their decision when committing a job.

      If Confirm Commit is set to No, users will still be prompted to provide a confirmation reason when overriding a skill or attribute, or trying to move part of a multi resource job.

    • Toggle Multi-select to define whether or not jobs can be selected in bulk for committing. If set to Yes, select the Multi-select Limit field and enter the maximum number of jobs that can be selected.

    Travel Time When Manually Scheduling
    • Toggle Enable Travel Time to determine whether or not travel time is calculated for manual scheduling. If set to Yes, when a job is dragged from the Job List to be scheduled manually, a travel time is attached to it. The travel time is based on straight line distances, and is calculated from the adjacent jobs on the schedule if available. Otherwise it is calculated from the resource's start and end locations.

      A warning will be displayed if there is not enough time to travel between jobs.

    • When Enable Travel Time is set to Yes:

      • Select the Walking Speed field and enter a walking speed to calculate travel times for resources on foot.

      • Select the Driving Speed field and enter a driving speed to calculate travel times for resources travelling by car.

    Appointments

    Select the Appointments in Jeopardy Threshold field, then enter the window of time within which appointments are considered to be in jeopardy. This setting is used in the Appointments in Jeopardy widget on the Dashboard.

    Appointment Restriction
    • Toggle Confirm if planned outside the Appointment window to determine the behaviour when a user plans a job outside the appointment start and end times. If set to Yes, a confirmation prompt appears when a job is planned outside the appointment window. If set to No, the job can be planned outside the appointment window without confirmation.

    • Toggle Prevent planning outside the Appointment window to define whether users can plan jobs outside appointment start and end times. If set to Yes, jobs cannot be planned outside their appointment window.

      Only one of these settings can be set to Yes for a World.

    Jobs

    Select the Jobs in Jeopardy Threshold field, then enter the window of time within which jobs are considered to be in jeopardy. This setting is used in the Jobs in Jeopardy widget on the Dashboard.

    Job Card

    Select Edit List to edit the job card layout.

    In the Job Card Layout Settings dialog:

    • To add a field to the job card, select an item in the Available list to move it to the Selected list.

    • To remove a field from the job card, select an item in the Selected list to move it to the Available list.

    • To edit the order of the job card fields, select an item in the Selected list and drag it to a new place in the list.

    Select Confirm to save the layout.

    Resource Last Activity
    • Toggle Display Resource Last Activity to define whether the last activity indicator is displayed in Optimise Schedule. For more details refer to Viewing Resources Activity and Searching for Resources in the Schedule User Guide.

    • If Display Resource Last Activity is set to Yes, select the Interval field and enter how often in minutes the last activity indicator is refreshed. The default is 60, meaning the indicator is refreshed once an hour.

      The resource last activity indicator is only available if you are using Dynamic Scheduling in conjunction with Mobile Working.

    Map
    • Toggle Commit Jobs to Resources to define whether a job can be committed to a resource in the Optimise Schedule Map view.

    • If Commit Jobs to Resources is set to Yes, select the Commit Jobs to Resources Range field and enter the range in miles that will be used to find possible resources for the committed job.

      If you are configuring an Optimise Essentials World, these settings are available for manually scheduled jobs, and are labelled Schedule Jobs to Resources and Schedule Jobs to Resources Range.

    • Toggle Update Resource Default Start Location to define whether a resource's default start location can be updated when their pin is moved in Map view.

    • Toggle Update Resource Alternative Start Locations to define whether a resource's alternative start locations can be updated when their pin is moved in Map view.

      When you enable one or more of the above options, an icon is displayed on the Map view toolbar allowing this functionality to be locked and unlocked. For more details refer to Map View in the Schedule User Guide.

  6. Select Save.

  7. Enter a reason for the edits, then select Confirm.
