Optimise Appointment Booker Settings

You need the Optimise Appointment Booker Settings permission to access this feature. For more details refer to Permissions.

You can define appointment booker settings for each World, determining:

How slot capacity is calculated and displayed.
Whether travel times and speeds are included in calculations.
Which slots are available for selection and whether or not those selections are verified.
How jobs that are appointed but not scheduled are handled.
Whether suggested appointment slots outside the current criteria are displayed.

To define appointment booker settings for a World:

In WebAdmin select Optimise Admin.

The Universal Settings and Worlds page appears.
In the Worlds section, select a World.

The World Settings and Permissions page appears.
In the Settings section, select Optimise Appointment Booker Settings.

The Appointment Booker Settings dialog appears.

To view or hide the explanatory notes on this dialog, select Toggle Notes .
Select Edit Settings .

When this dialog is in Edit mode and these settings have previously been edited, a Version dropdown is displayed at the top of the dialog. Select an option from the dropdown to view the settings from a previous version.

Edit the following settings as required:

Setting	Description
Appointment Booker Calculation Settings
Capacity Calculation	Toggle this setting to determine whether or not the slot capacities are calculated. If set to No, the remaining fields in this section are not required.
High Percentage	The capacity high percentage value. The availability must be at least this percentage of what is required in addition to the High Value setting to be considered high capacity. For example, a job requires one hour to complete. Assuming the resource arrives at the job on time and moves onto the next job on time from this one, you might set High Percentage to 200% and High Value to 15. This means the availability must be one hour at 200% plus 15 minutes, making a total of 135 minutes, to be considered high capacity.
High Value	Specifies the standard value in minutes that can be added to the required job duration, in order to qualify as high capacity. This value is used in addition to the High Percentage value to allow for events such as getting into or out of cars, and starting to travel between jobs.
Medium Percentage	The capacity medium percentage value. The availability must be at least this percentage of what is required in addition to the Medium Value setting to be considered medium capacity. For example, a job requires one hour to complete. Assuming the resource arrives at the job on time and moves onto the next job on time from this one, you might set Medium Percentage to 150% and Medium Value to 15. This means the availability must be one hour at 150% plus 15 minutes, making a total of 105 minutes, to be considered medium capacity.
Medium Value	Specifies the standard value in minutes that can be added to the required job duration, in order to qualify as medium capacity. This value is used in addition to the Medium Percentage value to allow for events such as getting into or out of cars, and starting to travel between jobs.
Low Percentage	The capacity low percentage value. The availability must be at least this percentage of what is required in addition to the Low Value setting to be considered low capacity. For example, a job requires one hour to complete. Assuming the resource arrives at the job on time and moves onto the next job on time from this one, you might set Low Percentage to 120% and Low Value to 15. This means the availability must be one hour at 150% plus 15 minutes, making a total of 95 minutes, to be considered low capacity.
Low Value	Specifies the standard value in minutes that can be added to the required job duration, in order to qualify as low capacity. This value is used in addition to the Low Percentage value to allow for events such as getting into or out of cars, and starting to travel between jobs.
Fully Resolved Slots*	Toggle this setting to define how the appointment slot works with start and end times. If set to No, the appointment start time is within the appointment slot, but the end time can be within or outside the slot. If set to Yes, the job must start and end within the appointment slot.
Resource Efficiency*	Toggle this setting to define whether the resource efficiency is considered when calculating the capacity. For more details refer to Add and Edit Resource Details.
Appointment Booker Calculation Travel Settings
Include Shift End Travel*	Toggle this setting to define whether a resource's travel time home after the last job of a shift should be included as part of the capacity calculation.
Driving Speed	Enter the average driving speed in miles per hour for resources who are driving. This is then used to calculate travel time to, and potentially from, the job.
Walking Speed	Enter the average driving speed in miles per hour for resources who are walking. This is then used to calculate travel time to, and potentially from, the job.
Travel Time Limit*	Enter a value in minutes that limits the permitted travel time for any single journey to a job. For example, if you set the limit to 40 minutes, a resource must be able to travel from their starting point to a job, or between jobs, within that time.
Travel Distance Limit*	Enter a value in miles that limits the permitted travel distance for any single journey to a job. For example, if you set the limit to 20 miles, a resource cannot travel more than that distance from their starting point to a job, or between jobs.
Appointment Booker Slot Selection Settings
Enable Selection of Slots without Capacity	Toggle this setting to determine whether or not a slot that is below low capacity can be selected. If the capacity is calculated as lower than the Low Capacity threshold, then you might not want that slot to be selected because Mendel or a manual scheduler are unlikely to be able to schedule that job into that appointment slot. When this setting is enabled and a user books a job in a slot without capacity, they will be prompted for a reason code. For details of defining reason codes, refer to Booking No Capacity Reasons.
Limit Facility to Select Slots in the future	Toggle this setting to Yes to prevent the selection of slots too far in the future. You may want to select this because the job and availability information used to calculate the slot capacity may not be there to form an accurate enough picture. If you select this option, select the Limit field and enter the number of days ahead that slots can be booked.
Enable Selection of Slots before the Due Date	Toggle this setting to determine whether or not slots before the due date can be selected. If set to Yes, you will be prompted for an associated reason code when selecting a slot, and this will be recorded in the job activity log. For details of defining reason codes, refer to Booking Before Due Date Reasons.
Enable Selection of Slots after the Due Date	Toggle this setting to determine whether or not slots after the due date can be selected. If set to Yes, you will be prompted for an associated reason code when selecting a slot, and this will be recorded in the job activity log. For details of defining reason codes, refer to Booking Past Due Date Reasons.
Verify Capacity on Select	Toggle this setting to Yes to refresh and confirm the capacity of the selected slot when you save it. This checks the slot is still available and valid, as other jobs may have been booked, moved, or rescheduled to different resources since you initially selected it.
Unscheduled Appointment Settings
Include Estimations	Toggle this setting to determine whether jobs that are appointed but not scheduled affect the capacity calculations. For more details refer to Unscheduled Appointed Job Estimation in the Schedule User Guide.
No Capacity on Fail	Toggle this setting to Yes to ensure slots overlapping any jobs that fail estimation are marked as having no capacity.
Suggested Slot Settings
Suggested Slots	Toggle this setting to Yes to see alternative appointment slots that might be outside the current date range but include jobs that are similar and nearby.
Range	If Suggested Slots is set to Yes, enter a range in miles. This is used in the calculation of suggested slots.
Limit	If Suggested Slots is set to Yes, enter a maximum number of suggested slots to display.

To reset all options to their defaults, select Reset Settings .

Select Save.
Enter a reason for the edits, then select Confirm.
