What's New — GRS
-
Acting Up — record and authorise accurate duty time and overtime, integrated with Payroll
There have been enhancements to Time Sheets > Time Sheet Definitions > Time Sheet Layouts > Advanced Options in Main Client to introduce new fields to enable recording Acting Up claims on time sheets. When enabled, staff can record standard duties and overtime as 'Acting Up' in GRS Web > My GRS > Time and Attendance > Time Sheets. Managers/authorisers can review claims for Acting Up hours in GRS Web > My Staff > Time Sheet Authorisation.
This release introduces comprehensive Acting Up functionality within GRS, enabling organisations to accurately record, authorise, report on, and transfer Acting Up duties to Payroll teams. Users can record Acting Up activity against both standard duty and overtime, including full or partial shifts, while capturing the applicable grade and reason for the claim. Acting Up claims follow existing authorisation workflows and integrate directly with Payroll by providing all of the required information to support pay calculations and threshold tracking. This reduces reliance on manual processes and spreadsheets for operational managers, Human Resources, and Finance teams.
For more information about settings in Main Client, refer to Acting Up fields to record Duty and Overtime hours.
For more information about GRS Web, refer to Time Sheets and Time Sheet Claim Authorisation.
Totalmobile has renamed Overtime Authorisation to Time Sheet Claim Authorisation. -
Senior Officer Hours Accrual
This release introduces a dedicated Senior Officer Hours (SOH) accrual process, providing automatic overnight transfer of hours from standard TOIL (Time Off in Lieu) to a Senior Officers Hours Absence Account. Senior Officers should continue to submit additional hours through the existing TOIL process via Time and Attendance.
The enhancement helps protect historic TOIL entitlements while providing a more appropriate mechanism for managing Senior Officer accrued hours. It is possible to request Senior Officer Hours through the standard Web Request process, with configurable expiry rules allowing organisations to define how long unused hours remain available.
For more information refer to Time Sheets.
-
Time Sheet Summary column change to two decimal places
This release introduces numerical values for the following columns, ensuring that they are now right-aligned in their cells and correctly round to two decimal places: Single (Basic), Overtime (Time Plus), Double/PHL, Unsocial Lower, Unsocial Higher
-
Removed customer-specific functionality to Convert Payment/TOIL
The overtime claim processing logic has been simplified by removing a separate customer-specific path and using a single common process instead. As a result, when either of the settings Convert TOIL to Actual when Authorised or Convert Payment to Actual when Authorised are enabled, the system will consistently convert the claim to an actual record, perform the required record updates, and send the overtime notification email (if the email setting is enabled).
Previously, the overtime notification email was sent only via a customer-specific process. The change extends this behaviour so that all customers using either of the automatic conversion options receive the same notification.
The system options affect only claims entered via a Time Sheet and do not affect the behaviour of the Overtime Claims and Time Owing Claims screens in GRS Web.
