What's New

WTR Reporting - Backfeed from Timesheets to Main Client
Enhancements have been made to GRS Main Client > Analysis.
This enhancement improves Working Time Regulation reporting by allowing actual worked hours recorded in GRSweb Time Sheets to be reflected within the WTR reports. Users are able to report against rostered, planned, or actual hours, helping supervisors and organisations gain a more accurate view of working patterns, overtime, and potential breaches. Where actual clocking data is unavailable, the system falls back to planned or rostered shifts to maintain continuity of reporting.

Mandatory Project Code Field
Enhancements have been made to GRSweb > My Staff > Overtime and GRSweb > Time Sheets.
A new configurable option has been introduced to make the Project Code field mandatory when submitting overtime claims in GRSweb. This helps ensure claims are submitted with the required financial coding, reducing incorrect budget allocation and improving downstream reporting accuracy. Supervisors are also able to update or correct the Project Code during authorisation, with system logs capturing any changes for audit visibility.

Overtime Authorisation Enhancements
Enhancements have been made to GRSweb > My Staff > Overtime.
The Overtime Authorisation screen in GRSweb has been enhanced to provide supervisors with clearer information when reviewing overtime claims. Additional columns help identify whether a claim relates to planned or casual overtime, while the pay rate information for regulation claims is displayed more clearly. Where multiple rates apply and cannot all be shown, the highest applicable rate is presented to support faster and more consistent approvals.

Overtime Claim Processing Without Timesheet Submission
Overtime claims can now be progressed for payroll processing once they have been authorised by a line manager, without waiting for full timesheet submission. Authorised overtime claims will move to a processed status and will be included in the Payroll Unity Export up to the selected date, supporting more frequent payroll processing. Other claim types, including unsocial hours, standby, and on-call events, will continue to follow the standard monthly timesheet submission cycle.

Contract Types - Standardised Clocking Refreshment Break Calculations
Enhancements have been made to GRS Main Client > Personnel > Personnel Definitions > Contract Types.
A new Contract Type setting has been added to define whether unpaid refreshment break calculations are based on the planned shift or the actual clocked duration. This provides greater flexibility and consistency across clocking-based calculations, including Time Sheet Records, Flexi Balance reporting, Recuperative Duties, and Book On/Off processes. Existing contract types will be updated with appropriate defaults during deployment to preserve current customer behaviour.

Contract Types - Standardised Part Time Additional Hours
Enhancements have been made to GRS Main Client > Personnel > Personnel Definitions > Contract Types.
The Contract Type functionality has been enhanced to support more flexible and standardised part-time additional hours calculations. A new Established Hours Percentage calculation has been added to the Part Time FTE Rule options, allowing overtime rates to be calculated using an employee’s established hours and WTE. The Auto Create Overtime Records setting has also been separated from the Part Time FTE Rule, ensuring overtime generation behaviour can be managed independently while preserving existing customer configurations.
Workflow-based timesheets have been updated to support a wider range of Part Time FTE Rule calculation methods, replacing previously hardcoded behaviour with configurable options.

GRSweb Flexi Balance
Enhancements have been made so the Flexi Balance field is now only available in GRSweb > Timesheets, and has been removed from My Leave Records > Balance Summary and the Homepage Dashboard > Balance Summary.

Post Skills Template
Enhancements have been made to Roster Definitions > Post Skills Template.
The Post Skills Template allows users to configure restrictions used when raising skill mismatch warnings. Existing skill mismatch warning checks can be made more flexible by limiting them to specific posts, date ranges and skills, which can be found in Roster Definitions > Post Skills Template. They behave in the following way:

The template assesses whether the shift date is within the date range specified on the template.

The lower limit calculates the start date and the upper limit calculates the end date. (current date is not used in the calculation. If the lower limit is set to 1 and the upper limit is 7 – the alert will not be generated for the 5 dates that fall within the window).

Skill Reduction Offset is used where the required skill level can be lowered closer to the shift date when a post remains unfilled, so that a warning is not raised unnecessarily.

Graded Skills.
The Skills Mismatch warning should only be generated if the person’s skill is lower down the hierarchy of the graded skill.

Once saved the person will be removed from all shifts they have volunteered for on the selected date. Absence Records - Group Absence Permissions Failing A new Special Permission has been added to Emergency Services Rostering (GRS) to enable non-admin users to enter Group Absences when a group monitor threshold breach is reported. The absence validation now uses group abstraction and allows users with the global special permission Validate group absence to override the threshold breach. Override the threshold breach by double clicking the red cross against a person on the Minimum Level Warning. Users without this permission cannot override the breach. |

Systems Options - Security Roles and Ranges An issue has been fixed with the Annual Leave Web Applications screen so it recognises the existing system option Security Ranges - Branch Selection Restriction, located under the Organisation category. When this option is set to Yes, and a user has multiple Security Roles, some of which grant access to the Annual Leave Web Applications screen and some of which do not, the Requests tab will display only leave requests for employees who fall within the Security Range of the role(s) which have access to the screen. Leave requests for employees who are included only within the Security Range of role(s) which do not have access to the screen will not be displayed on the Requests tab. When this option is set to No, the previous behaviour will apply. The Requests tab will display leave requests for employees who are included in the Security Range of all applicable roles, regardless of whether those roles grant access to the Annual Leave Web Applications screen. However, users can only view the details of leave requests that fall within a Security Range associated with a role which has access to the screen. If a user selects a leave request which belongs to a Security Range associated with a role which does not have access to the screen, the leave request details will not be displayed and a warning message will be shown in the bottom-right corner: You do not have permission to access the record for (PERSON_NAME). |
