What's New

Updates to Optimise Schedule Settings

  • Displaying Small Jobs in Optimise Diary View

New settings have been introduced in Optimise Admin > Select World > Optimise Schedule Settings to enable a magnified view of time slots in the Optimise Diary View, making it much easier to read information on smaller job cards. This helps reduce visual clutter and improves clarity when working with dense schedules.

For teams whose resources begin work at similar times, an additional setting allows you to remove unnecessary empty space from the planner. This produces a more compact, focused view of your schedule.

These settings are configured at the World level, which means any changes made will apply to all users viewing the planner within that World.

  • Calculate Travel Time for Manually Scheduled Jobs

A new setting has been introduced in Optimise Admin > Select World > Optimise Schedule Settings to support better decision making during manual scheduling. When enabled, Dynamic Scheduling will calculate travel time:

    • Between the preceding job (or start location) and the job being scheduled.

    • Between the scheduled job and the subsequent job (or end location).

When Calculate travel using the Location Service is set to Yes, Dynamic Scheduling will calculate travel time using route-based journey estimates provided by the Unity Location Service. When this option is set to No, the travel time is based on straight line distances, and is calculated from the adjacent jobs on the schedule if available. Otherwise it is calculated from the resource's start and end locations.

This gives planners an immediate indication of whether sufficient travel time exists, helping them assess the feasibility of scheduling decisions more confidently.

For more details refer to Optimise Schedule Settings.

Linked Jobs Updates

  • Linked Jobs Filtering

Enhancements have been made to Optimise Schedule > Select World > Job List. A new Linked Jobs icon appears on a job card in the Job List whenever the job has linked concurrent jobs.

    • The icon is displayed on any job with concurrent jobs associated.

    • Selecting the icon automatically applies a filter to show all jobs linked to that concurrent group.

    • A count of the number of linked jobs is superimposed on the icon when the filter is applied.

This makes it quicker and easier to identify and navigate between related jobs.

For more details, refer to Filter Job List to Display Linked Jobs.

  • Enhanced Concurrent Job Details in the Job Card

Enhancements have been made to Optimise Schedule > Select World > Job List > Job Detail. The information shown for linked jobs within the Job Detail dialog has been expanded, making it easier to understand and navigate related work. For any job that has concurrent jobs linked to it, each linked job now displays an expanded summary including:

    Linked Job Header

    • Selectable job reference to open details of that job

    • Work type (when available)

    • Current job status, which may be:

      • Not scheduled

      • Scheduled

      • Dispatched

      • Completed

      • Deleted

    Linked Job Summary

    May include:

    • Job description

    • Job location, contact details, and duration

    • Allocation information (if applicable)

    • Target date information, including:

      • Appointment date (if present), or

      • Due date

    • Schedule date information (if available)

This update provides clearer visibility of related jobs, allowing users to review key information at a glance and navigate between jobs more efficiently. For more details, refer to View Linked Jobs.

  • Linked Jobs Information Displayed on Dialog when Scheduling Jobs

Enhancements have been made to Optimise Schedule > Select World > Job List that improve the dialog displayed when manually scheduling or committing a job using drag and drop. The updated dialog now provides richer job details, including:

    • Scheduled time

    • Current committed time, where applicable

    • Any constraints requiring review

    • Linked jobs information

    • If the job being scheduled has linked jobs, the dialog also shows:

    • Details of the linked jobs

    • The linked jobs' assigned resources, if applicable

    Additionally:

    • When deleting a job, users now have the option to delete any associated linked jobs directly from this dialog.

    • When manually scheduling a job with linked jobs and those jobs are already allocated to a resource, the start time of the linked jobs can be updated at the same time.

Dynamic Scheduling validates the proposed changes against relevant scheduling constraints. A warning is displayed if moving a linked job would place it at a time when its allocated resource is unavailable, giving the planner the choice to continue or cancel the change. This makes it easier to keep linked jobs aligned while still providing visibility of potential scheduling conflicts.

For more details refer to Commit Jobs, Manually Scheduling Jobs and Delete a Job.

  • Local Time for Linked Jobs

When manually scheduling linked jobs across different time zones, Optimise Schedule now displays the local time for linked jobs where it differs from the world time, giving planners greater clarity when making scheduling changes.

This change is only for customers operating in multiple time zones.

For more details refer to View Linked Jobs.

Service Level Agreements

  • Create an SLA Based on Contract and/or Worktype

You can now define Service Level Agreement (SLA) details by Contract Reference and Work Type Reference combination. These settings control how far in advance customers must be notified of a scheduled visit, taking into account non-working days and ad-hoc exclusion dates (such as bank holidays).

This helps scheduling coordinators and operations managers ensure customers receive contractually-required advance notice of scheduled visits even when weekends or holidays fall within the notification window, particularly useful where SLAs specify minimum notification windows and non-working days must be respected.

The new Optimise Admin > SLA Details page lists existing SLAs and enables you to create, edit, and delete SLA configurations. Access to this page is controlled by the new SLA Details permission, configurable on the Web Admin > Permissions page.

Each SLA record includes the following:

    • Reference - a unique identifier for the SLA of up to 50 characters.

    • Contract Reference - the contract this SLA applies to (optional - leave blank to apply across all contracts).

    • Work Type Reference - the work type this SLA applies to (optional - leave blank to apply across all work types).

    • Notification Period (hours) - how far ahead of the scheduled time the customer should be informed. This can be between 0 and 999 hours, and decimals are supported, for example 0.25 for 15 minutes.

Only one SLA is permitted per Contract Reference/Work Type Reference combination.

Each SLA can define days and dates to skip when calculating the notification deadline:

    • Recurring exclusions - exclude any day(s) of the week (such as Saturday and Sunday) so they are not counted when working back from the job schedule date.

    • Ad-hoc exclusions - exclude specific dates that fall within the notification window.

Once configured, SLA details are used in the following areas:

    Area

    Behaviour

Auto Commit SLA Jobs Jobs with SLAs are automatically locked in place ahead of the notification period, ensuring stability before the customer is informed. For more details refer to SLA Automatic Commit Background Job below.
Manual Job Scheduling Planners are warned when manually scheduling a job inside or outside the notification period. For more details refer to Manually Scheduling Jobs.

    Committing a Job

Planners are warned when committing a job inside or outside the notification period. For more details refer to Commit Jobs.

  • SLA Automatic Commit Background Job

Enhancements have been made to the Optimise Admin > Select World > Background Job Settings page to introduce a new SLA Automatic Commit background job that automatically locks jobs in place ahead of SLA notification deadlines. This removes the need for manual intervention and ensures client notifications are sent on time.

The job runs on a configurable schedule, using the same settings pattern as existing background jobs. On each run, it evaluates scheduled jobs that have an SLA defined, based on their Contract and Work Type reference combination. For each job, it calculates the point at which the client must be notified, and if that Notification Date falls within the configured Hours In Advance window, the job is automatically committed and locked in place.

A CommitJobNotification message is produced for each affected job, enabling downstream integrations and alerting. The standard audit log is updated for every auto-committed job, maintaining full traceability.

For more details refer to Background Job Settings.

This feature is available for Enterprise Worlds only.

  • Mendel and Jobs with SLA Details

Enhancements have been made to Mendel so that it recognises Service Level Agreement (SLA) data configured against jobs via a Contract Reference/Work Type Reference combination. This ensures plans respect time-based SLAs, preventing jobs from being scheduled outside agreed windows.

For more details refer to SLA Details and Commit Jobs.

Other Updates

  • Dynamically Schedule Long-Running Jobs in Optimise

Enhancements have been made to support multi‑day dynamic scheduling for long‑running jobs, which exceed a single resource shift. The scheduler now allocates these jobs to a resource (or multiple resources if the job requires it) who have a continuous block of availability across consecutive days, while honouring constraints and configurable tolerances. This eliminates the need to manually split jobs into smaller chunks and reduces scheduling friction for complex, multi-day tasks.

For more details refer to Long-Running Jobs.

  • Updated Dialogs and Buttons

The dialogs and buttons in WebAdmin have been refreshed to use the new Totalmobile colour palette, bringing them in line with the updated Totalmobile‑branded header. This update delivers a more consistent and modern look across the interface.

  • Add Links to Third‑Party Applications

Enhancements have been made so users can now create and display links to third‑party systems directly within the job card and resource card.

There are two new permissions, Job External Links and Resource External Links. When permission is granted to a user, these will appear under Optimise Admin > Universal Settings. The settings allow you to add custom links that appear on a job or resource card.

    • Links can automatically include jobId, jobReference, jobClientReference, or jobAttribute, ideal when the same identifiers are used in the third‑party system.

    • Resource links can automatically include userId, username, or resourceAttribute, ideal when the same identifiers are used in the third‑party system.

    • Dynamic links are supported (for example, linking back to a job or referral record in an external system).

    • Static links are supported (for example, URLs to company information or guidance that appear on all job or resource cards).

This update makes it easier to integrate Dynamic Scheduling (Optimise) with other systems, providing quick navigation to related records and improving workflow efficiency.

For more details refer to External Links.

  • Last Authentication Support for Time Zones

Enhancements have been made to the Last Authentication Time feature to introduce time zone support. This ensures that the displayed authentication time for a resource in the Mobile Working app is aligned with the relevant time zone, providing greater accuracy and clarity for users operating across regions.

  • Transfer a Route to a Different Resource

Enhancements have been made to Optimise Schedule > Select World > Diary so that planners can now transfer an entire route from one resource to another. This improves flexibility when managing schedules, enabling quicker adjustments when resources become unavailable or workloads need to be redistributed.

For more details refer to Transfer Jobs Between Resources.

  • Automatically Commit Scheduled Jobs

Enhancements have been made to the Optimise Admin > Select World > Background Job Settings page to enable scheduled jobs to be automatically committed on a rolling basis. The Automatic Commit background job removes the need for manual intervention to commit non-SLA jobs ahead of their start time, helping ensure schedules are finalised without relying solely on SLA notification periods.

The job runs on a configurable schedule, using the same settings pattern as existing background jobs. On each run, it evaluates scheduled jobs that are not already committed. For each job, it checks whether the scheduled start time falls within the configured Hours In Advance window, and if the job is within that window, it is automatically committed and locked in place. Once committed, the job cannot be moved or reassigned without decommitting it first.

A CommitJobNotification message is produced for each job that is automatically committed, enabling downstream integrations and alerting. The standard audit log is updated for every auto-committed job, maintaining full traceability.

For more details refer to Background Job Settings.

This feature is available for Enterprise Worlds only.
  • Filter Attributes in Optimise Schedule

The new Optimise Admin > Select World > Attribute Filtering page provides control over which attributes are available as filters within an Optimise World. Previously, all attributes sent to Optimise Schedule were automatically displayed as filters.

Administrators can choose which attributes are useful for planning and filtering in Optimise Schedule Diary View, helping to keep the filter options more relevant and manageable.

For more details refer to Attribute Filtering.
